ADMINISTRATIVE AND FINANCE COORDINATOR
JOB DESCRIPTION
WINGS is a global network of organizations that support philanthropy headquarted in Sao Paulo, Brazil. With around 100 members from 40 countries, WINGS contributes to strengthening, promoting and providing leadership on the development of philanthropy and social investment around the world.
TITLE: Administrative and Finance Coordinator
REPORTS TO: Executive Director
FUNCTION: Undertakes the day to day operations of the organization and provides administrative and finance support to the Executive Director and Chair of the Board. Additional support for other staff as necessary. Areas of coverage include Board of Directors meetings, WINGS policies and procedures, financial controls, and operations. Also responsible for duties outlined below as well as other tasks as assigned.
TASKS and RESPONSIBILITIES
1. Committee and Board Liaison
a. Assist ED and Chair in Board Meeting Preparation:
Collect/compile reports, motions, etc.
Oversee material production and distribution
Coordinate meeting logistics
Attend meeting, take minutes
Maintain and distribute Board of Directors Handbook
b. Assist with other committee activities as requested:
Set up online meetings, take and disseminate minutes
Maintain committees roster
Oversee material production and distribution
c. Provide assistance to the Board and ED, as required
2. Financial Control
Oversee and coordinate the work of US and Brazil bookkeeper
Authorize day-to-day operations expenditures
Assist in creating and monitoring annual budget
Manage cash receipts and assure proper coding and invoicing
Review and forward invoices to bookkeepers for processing
Send monthly bank statements to bookkeeper, with account allocations
Manage petty cash and travel reimbursements
Oversee preparation of monthly financial reports
Manage bank accounts and monitor operating reserve
Assist with membership dues payments
Coordinate annual financial audit
3. Admin
Coordinate HR issues in liaison with the ED
Provide general office maintenance
4. Programs and Strategic Direction
Be familiar with WINGS members and programs
Manage or participate in other projects/special tasks as required
Provide assistance to other WINGS Coordinators as required
Assist with CRM data entry
Represent WINGS at meetings and conferences as required
Support with travel arrangements and other logistics
SKILLS
Bachelor (or Master’s) Degree in Finance, Accountability, Administration or Non-profit management
Minimum experience of 5 years in financial management and administration, ideally in the non-profit sector.
Experience abroad or in an international organization is an asset. Mobility: the position involves at least one or two international travels per year
Strong written communication skills, including in English, and organization skills
Global mindset: openness to and awareness of cultural and geographic diversity Self-motivated with strong ability to manage multiple projects
Accuracy and attention to detail
Fluency in English and Portuguese
Proficiency in the use of computers, database systems, website maintenance, and the latest information technology and social media
